How it works

How it works.

You own the building. We keep the register, coordinate the vendors and keep the file, and we bring you every decision that involves your money.

I  ·  Eight steps

From a first review to an audit-ready file.

01The compliance review.
It starts with a walk-through and a look at what you already have: certificates, inspection reports, service contracts and the dates on them. If something is missing, we say so.
02Build the register.
Every required inspection in every building goes into one register: the system, the governing authority, the interval, the last date, the next date and the document that proves it.
03Set the calendar.
Due dates are laid out ahead of time, by building and by system, so each inspection is booked with room to spare.
04Plan the maintenance.
If you want it, preventive maintenance goes on the same calendar: rooftop units, the roof, the parking lot, doors and docks. We book and confirm each visit, and the service ticket, photos and report are added to the equipment record. More on maintenance coordination.
05Schedule the qualified vendor.
We book a qualified vendor for each inspection and maintenance visit, whether that is your current vendor or one you approve, and confirm the visit with your property manager or building contact.
06Chase deficiencies to closure.
When an inspection report or a maintenance visit comes back with findings, we get the repair quoted by the vendor and bring it to you. Nothing proceeds without your approval. We follow the repair until it is done and the proof is on file. Any relationship with a vendor is disclosed before you approve the work.
07Keep the file audit-ready.
Reports, certificates, service tickets, warranties and repair records are filed against the building and the equipment they belong to, ready for the inspector, your carrier or a buyer.
08One statement.
For each period you get one statement: what was done, what it cost, what is coming due and what is still open.

Emergency? Call 911 first. Building Maestro is not an emergency service. For fire, smoke, an active alarm, a person trapped in an elevator or anyone in danger, call 911 and follow your building's emergency plan. Once everyone is safe, let us know and we'll help with the follow-up and the paperwork.
